The Office of Research Services aims to provide top-quality administrative support that helps UBC researchers obtain and manage research funding.

To facilitate this goal, ORS requires that all research grant applications must be submitted for review and approval at least two (2) full working days in advance of the sponsor competition deadline.

For major competition periods (e.g., CIHR Foundation Grant, NSERC Discovery Grant) as outlined on the ORS Calendar of Funding Deadlines, ORS recommends a minimum of five (5) working days in advance of the competition deadline to allow for proper administrative review during peak periods. Major competition periods are from February to April and mid-August to November (subject to change). Please visit the agency-specific application requirements and procedures.

For paper-based submissions, ORS must receive a copy of the final application as well as the Research Project Information Form (RPIF), complete with required application pages and signatures, by 4:30pm on the date of UBC's internal deadline.

For competitions that require electronic submission (e.g., through NSERC’s Research Portal or CIHR ResearchNet), the researcher must complete and submit the RPIF, required application pages and signatures either via email or paper copy by 4:30pm on the date of UBC's internal deadline. All sponsor compliance requirements (e.g., the US Public Health Service Agency Financial Conflict of Interest Disclosure) must also be in place by the internal deadline. 

Allowing this processing time will enable ORS to provide the required institutional review and approval of applications, to liaise with both researchers and sponsors as necessary, to ensure compliance with institutional and agency requirements and to identify and help to resolve any potential obstacles to success.

In addition to observing the ORS turnaround timelines, the investigator is responsible for reviewing and following the UBC signature requirements.
