As of the Fall 2023 competition, CIHR started monitoring and tracking adherence to formatting requirements of each application package. CIHR reserves the right to withdraw an application if it does not meet these requirements. As of May 15, 2018, all CIHR application participants (Nominated Principal Applicant, Principal Knowledge User, Knowledge User, Principal Applicant, Program Leader, Project Leader, Co-Applicant, Project Expert, Primary Supervisor, Program Expert, Supervisor) must complete the new Equity and Diversity Questionnaire before the eSubmission deadline. Applicants listed as “Collaborators” are not required to complete the questionnaire.

E-Submission Procedures
1. APPLICATION PREPARATION
Prepare your application using ResearchNet and ensure all attachments comply with CIHR's acceptable application formats and attachments guidelines.
Applicants are responsible for determining whether their proposed research:
- aims to advance a listed Sensitive Technology Research Area (STRA) and requires the appropriate attestation(s); and/or
- involves one or more private-sector partners and requires completion of a Risk Assessment Form (RAF).

2. RESEARCHNET
In the “Institution Paid” field, select the UBC institution code CAAA from the dropdown menu. Do not manually enter an institution name or select another institution, as doing so will prevent your application from being routed to ORS for institutional approval.
For the “Location of Project” field, select the institution where the project will take place (e.g., VCHRI, BCCA, BCCHRI).
The Nominated Principal Applicant (NPA), all other applicants and project participants are no longer required to physically sign the application. By submitting the application through ResearchNet, all participants agree to CIHR’s “Meaning of signatures” requirements detailed in the Grants and Awards Guide.
3. UNDERSTAND AND COMPLY WITH FACULTY-SPECIFIC REQUIREMENTS AND/OR DEADLINES
Complete the UBC Research Project Information Form (RPIF) and obtain any required UBC approvals in accordance with UBC Signatures requirement.
Signature Requirements
- UBC co-applicants satisfy CIHR signature requirements by accepting the invitation to participate in the application through ResearchNet.
- External co-applicants satisfy CIHR signature requirements by accepting the invitation through ResearchNet.
- Faculties and departments may require additional internal review or approvals. Applicants should consult their faculty or department grant facilitator for unit-specific requirements and/or deadlines.
- If you are a Principal Applicant or Co-Applicant on a Project Grant led by another institution, you must still submit a copy of the application and all required UBC approvals to ORS for review. ORS review is required even though ORS will not approve the application online.
Please check with your grant facilitator regarding faculty-specific requirements and/or deadlines.
4. SUBMIT REQUIRED PAGES TO THE APPROPRIATE ORS CONTACT
By the UBC internal application deadline, submit the following documents to the appropriate ORS location. Ensure all required signatures have been obtained and that the documents provided to ORS are identical to those included in the ResearchNet application..
- Signed UBC Research Project Information Form
- All pages of the CIHR Application Detail sections (download from "Preview Application Materials" in ResearchNet)
- Summary pages
- Other Applicant Pages (if applicable)
- Budget modules including written justifications and quotes (if applicable)
- Partner budget details (if applicable)
- Signed letters of support from Partners providing cash and/or in-kind contributions, (if applicable)
5. SUBMIT YOUR ONLINE APPLICATION TO ORS THROUGH RESEARCHNET
Applications must first be submitted to ORS through ResearchNet for institutional review and approval before they are forwarded to CIHR by ORS on behalf of UBC.
Before submitting, ensure that you have:
- Completed all required application tasks.
- Linked all participant CVs and required forms.
- Reviewed all materials using "Preview Application Materials."
- Completed the Consent section.
- Confirmed that all required attachments and supporting documents have been uploaded.
- Verified that the application is complete and ready for institutional review.
Once all requirements have been met, click Submit to route the application to ORS for approval. ORS cannot review or approve an application until it has been submitted through ResearchNet.
CIHR does not follow up regarding incomplete application; the application may be withdrawn from the competition. Applicants are strongly encouraged to verify completeness before submission.For more information, review the CIHR Policy on Complete Applications.
6. ORS REVIEWS YOUR APPLICATION
ORS reviews the application for institutional compliance and completeness. If all requirements are met, ORS will approve the application in ResearchNet by the sponsor deadline.
Because ORS has read-only access to the application, ORS cannot make changes on behalf of applicants. If revisions are required, the application will be returned to the applicant for correction.
7. ORS APPROVES AND SUBMITS YOUR APPLICATION
Once ORS approves the application in ResearchNet, the application is automatically forwarded to CIHR. Applicants will receive a confirmation email from ResearchNet once CIHR has received the application.
No changes can be made after the application has been submitted to CIHR.
